Call for Operations and Finance Officer

FYEG is opening a vacancy for an Operations and Finance Officer starting as soon as possible and mid-September 2023 at the latest (exact date negotiable) in its Brussels office.

What is FYEG or the Federation of Young European Greens?

FYEG is an international NGO registered and operating under Belgian law. We are a dynamic youth organisation that unites Green youth movements, young Green activists and Green political organisations from all over Europe. We organise youth projects, summer camps, international trainings, conferences, campaigns, direct actions and serve as a youth lobbying organisation and a platform for the exchange of ideas and knowledge among European Green. Role description

The Operations and Finance Officer will coordinate FYEG’s financial, HR and administrative management. They will be mainly responsible for: 

1. Financial coordination of the organisation: planning, monitoring and reporting for the general budget of FYEG; supporting activities financial monitoring and reporting; coordinating general bookkeeping and accounting (with the support of the Administrative Assistant).

2. HR and well-being coordination: coordinating HR processes including recruitments, staff on and off-boarding, appraisal talks, staff training, etc.; coordinating HR administration (contracts, payroll, holidays, etc.); coordinating HR and well-being frameworks and guidelines; coordinating office retreats and team-building.

3. Operating grant coordination: coordinating grant application and reporting with the support of the Secretary-General.

4. General administrative coordination: managing and monitoring compliance with legal requirements (Belgian registers, banks, taxes, HR, etc.); co-managing access for IT tools in cooperation with the Communications and Campaigns Manager; Oversee logistics for statutory events.

The Operations and Finance Officer will also support the general functioning and development of FYEG’s activities with ad-hoc tasks.

This is a position requiring very good organisation and time management skills, responsibility, ability to work independently and often under time pressure. The Operations and Finance Officer works under the supervision of the Secretary General and the Executive Committee of FYEG.

Requirements:

  • Basic experience in financial management;

  • Basic experience in administration of an organisation and/or office;

  • Strong spreadsheet skills;

  • Structure and process oriented mindset;

  • Good organisational and time management skills;

  • Good computer skills and digital literacy;

  • Ability to work independently and to take initiative;

  • Attention to details and ability to set-up and follow consistent processes and structures;

  • Independent in the English language with strong writing skills;

  • Independent level in French or Dutch;

  • Good teamwork and personal communication skills;

  • Good people skills and the ability to work in multi-cultural teams and environments;

  • Flexibility to travel and occasionally work during evenings or weekends.


Additional assets:

  • Knowledge of Belgian law, especially concerning labour law, NGOs and finances;

  • Experience in human resources management;

  • Experience in grant management;

  • Experience with bookkeeping and accounting;

  • Experience with an accounting software (especially Odoo Enterprise);

  • Experience with grant application and reporting (especially CERV, Erasmus+, EYF);

  • Experience in event organising and logistics;

  • Experience of working in the non-profit sector;

  • Understanding of Green values such as ecology, feminism, anti-racism and social justice;

  • Previous involvement in a local or international youth organisation;

  • Knowledge of other languages;

Working hours:

  • 35 hours/week over 5 days with flexible working hours, core working hours between 10:00 and 16:00 and possibility for one day of telework per week

Salary (gross)

  • 2365€/month gross salary (approximately 1915€ net, depending on your personal situation)

Benefits

  • 7€ worth meal-vouchers for every day worked (averaging 130€/month)

  • Coverage of daily transport between home and work (amount dependent on the distance and mode of transport)

  • Telework allowance of 125€ per month 

Holidays

  • 20 days of paid legal holidays per year

  • additional holidays between December 25th and 31st

  • The selected candidate will be required to be based in Belgium from the start of the contract in September (exact date negotiable).'
